What happened at Veka Media

Veka Media is a web agency. Every project came with a lot of customer contact: briefings, feedback rounds, emails and phone calls. That information sat spread across mailboxes and loose notes, and had to be pieced together again with every question.

We built three workflows that keep track of it. Customer email still comes in as usual and the team reads and answers it themselves; in the background the customer file is updated, so wishes, feedback and agreements sit in one place per customer. For a running project you can see at a glance what was agreed.

It runs entirely inside their own systems. No message goes out to a customer automatically and customer data goes nowhere.

If nobody can explain when something is and is not allowed, there is nothing to automate. That is a process question first.

Too much is at stake

For work where a mistake costs money or trust straight away, we leave the decision with a person and automate the preparation at most.

Your software will not allow it

Some packages give no access to their data. Then a connection simply is not possible, and we say so right away.

And if it disappoints?

We always start with one process. That is deliberate: if it disappoints, it disappoints on a small scale. You have paid for one job, not for a project of months.

What we build runs on your own accounts. If you stop, it stays yours and someone else can take it over. There is no subscription around it and no notice period.

And the first conversation and looking along cost you nothing. If it turns out there is little to gain, you hear that and it ends there.

How long does something like this take?

That depends on the job. One connection is different from a process running through three departments. You hear the planning up front and you get a fixed price.

Does my team have to get used to something?

As little as possible. We build inside the software that is already there, so no new system arrives that everyone has to learn.

Who keeps it running?

You, or we do. You can buy ongoing care, but you do not have to: you can run it yourself or have your own IT partner do it.

What happens to our data?

It stays yours and does not go into a model that trains on other people's data. We put that in a processing agreement.

We are not a technical company, can we do this?

Especially you. Our clients are agencies, installers and bookkeeping firms. If you can operate your own software, you can operate this.
